Privacy Policy
Last updated August 31, 2026. This policy describes how RS Works collects, uses, and shares information when you visit rsworks.app, when a workforce program uses the platform, and when we talk with your team about a demo or contract.
Questions, a data processing addendum, a list of subprocessors, or a security packet: email hello@rsworks.app.
Who this covers
RS Works serves organizations, not consumers buying a resume on their own.
- Website visitors on rsworks.app, including people who book a demo or send the contact form.
- Program staff (counselors, supervisors, administrators) with a login.
- Participants (jobseekers, students, or employees in transition) whose career documents and activity sit in a program's account.
If your organization licenses RS Works, your program is the controller for participant records. We process that information to provide the service you bought. You are responsible for participant notices and consent required by your funders, state, or federal program rules.
Information we collect
Website and sales
Name, work email, organization, role, and the message you send through the contact form or a scheduling page. We also collect standard server logs (IP address, browser, pages requested) and may use cookies or similar tools to understand which pages are used.
Staff accounts
Name, email, organization, role, and activity needed to run the program: who you support, reporting you generate, and settings you change.
Participant records
Information the participant or a counselor enters so we can produce career materials and plans. That typically includes work history, education, skills, target jobs, resumes, cover letters, interview practice, application tracking, and progress markers your staff can see. Programs may also store identifiers they already use in case management.
How we use information
- Provide resume, cover letter, interview, career-planning, and reporting tools.
- Authenticate users, keep the service running, and fix problems.
- Show program staff activity and outcomes for the people they serve.
- Connect activity to a WIOA case management system when your program asks us to (including WorkforceOne, ETO, or ServicePoint).
- Answer sales and support requests, and send service notices.
- Meet legal, security, and contractual obligations.
We do not sell personal information.
AI processing
RS Works uses machine learning to draft career documents and coaching prompts. No participant personally identifiable information is sent to third-party AI models. Prompts and methods come from practitioner resume work, not from pasting a participant's file into a public chatbot.
Staff and participants should not paste RS Works content into consumer AI tools. That would be outside this platform and outside this policy.
When we share information
We share information only as needed to run the service or as the law requires:
- Your organization. Administrators and assigned counselors can see participant records in their program.
- Service providers. Hosting, email delivery, scheduling, and similar vendors who process data on our instructions. We will provide a current subprocessor list on request.
- Integrations you enable. If you connect a case management system, activity flows to that system under your rules.
- Legal and safety. If we must respond to a lawful request, protect the service, or handle a security incident.
We do not use participant career records to advertise unrelated products, and we do not train public AI models on your program's files.
Security
Access controls, encrypted transit, and operational monitoring are in place to protect customer data. We complete security reviews with partner organizations, including programs that serve sensitive populations. Reports and questionnaires are available to qualified buyers under NDA. Email hello@rsworks.app for the current packet.
No internet service is perfectly secure. If we learn of a breach that affects your program, we will notify the organization contacts we have on file as required by contract and law.
Retention
We keep website and sales records as long as needed to answer you and keep a record of the relationship. Staff and participant records stay in the platform for the life of the contract, plus a short wind-down period after offboarding so you can export what you need, unless a shorter period is written into your agreement. You may request deletion of a participant or staff account subject to legal holds and backups that expire on a rolling schedule.
Your rights and program requests
Depending on where you live, you may have rights to access, correct, delete, or export personal information, or to opt out of certain processing. Participants should start with the workforce program that holds their account. We will support that program on verified requests. Website visitors and staff may email hello@rsworks.app. We will need enough information to find your records and may need to verify you are who you say you are.
Children
rsworks.app is not directed at children under 13. The platform is used by organizations that may serve older youth in workforce or education programs. Those organizations are responsible for collecting only what their program rules allow and for providing any required parent or guardian notices.
Cookies
We use cookies or similar storage that are required to run the site (for example, keeping you logged in) and, where used, to understand which public pages are visited. You can block cookies in your browser. Some features may not work if you do.
Changes
If we change this policy in a material way, we will update the date above and, when the change affects a contracted program, notify the administrative contacts we have on file.
